The Mining Qualifications Authority (MQA) invites proposals for the appointment of a service provider to implement an end-to-end Electronic Document and Records Management System (EDRMS). The project aims to modernize records management, ensure compliance with the National Archives and Records Service of South Africa (NARSSA) Act, and support digital transformation. Key deliverables include designing a records management policy, digitizing approximately 7,700 boxes of records, developing a secure EDRMS with automated workflows, implementing an AI assistant for data analysis, and establishing electronic signature systems. The contract duration is 36 months. A non-compulsory briefing session will be held via Microsoft Teams on 17 July 2026. The closing date for submissions is 7 August 2026 at 11:00.

- Tax clearance — A valid SARS tax compliance status (PIN) showing your tax affairs are in order.
- B-BBEE certificate — A B-BBEE certificate or sworn affidavit confirming your contribution level.
- Other registration — An industry registration the tender requires (e.g. PSIRA, NHBRC, a professional or trade licence).

- Must possess a valid Tax Compliance Status (TCS) PIN or certificate
- Must provide a valid B-BBEE certificate or sworn affidavit
- Must hold NARSSA approval for the proposed EDRMS
- Must hold ISO/IEC 27001 certification
- Must provide three reference letters for public sector records management projects
- Must provide CVs and qualification certificates for key project personnel
